Job Summary
The office assistant helps to run the office and helps to ensure daily
operations are running smoothly. These operations include, but are not
limited to: customer service, inventory control, shipping, purchasing,
and providing support for sales staff.
Major
Duties
Providing customer service, including preparation of quotes and entering customer orders in the computer.
Contacting our vendors to obtain price quotes and check on the status of our open orders with them.
Helping to keep the office organized.
Communicating with the owner and office manager and working with them to solve problems as they arise.
Minor
Duties
Miscellaneous general office tasks including filing, typing, and light data entry.
Depositing funds and crediting towards our customers' accounts.
Helping to manage accounts payable.
Maintaining an adequate level of office and warehouse supplies.
Preparing packages for daily shipping.
Providing support for sales staff.
Attending meetings and offering suggestions to the owner on ways to improve the organization,
including the areas of work flow and customer service.
Assisting the owner and operations supervisor with various tasks, as needed.
Relationships
The office assistant reports directly to the owner.
Qualifications
Associate degree in business or at least two years of college
experience. Must have strong organizational, time-management, and
problem-solving skills. Experience with intermediate word processing
and basic spreadsheet features is desired. Reasonable typing skills -
30 wpm with 90% accuracy. Basic math and business writing skills are
required. The ability to produce accurate, error-free work is a must.
Salary
and other benefits
The position provides an annual salary in the low-30's as well as
individual health insurance coverage.
Twelve combined sick and vacation days are earned
your first year of work, eighteen days are earned every year thereafter.
Normal
working hours
8:30 AM - 5:30 PM, Monday through Friday.
